Job Description

Position Summary
The Billing Specialist supports timekeeper maintenance, billing operations, and attorney/client inquiries. Responsibilities include maintaining master data, distributing reports, assisting with invoice preparation, and supporting the billing team with ongoing and special projects.


Key Responsibilities

Timekeeper & Data Maintenance

  • Set up and maintain timekeeper/employee data, including billing rates.
  • Prepare and update spreadsheets and reports (monthly and ad-hoc).
  • Monitor time-entry deadlines and report late time.
  • Maintain procedures documentation and support month-end close.
  • Assist the billing team with administrative and project-based tasks.

Billing Support

  • Provide strong customer service to attorneys, staff, and clients.
  • Prepare billing documentation in accordance with firm policies.
  • Review billing materials for accuracy and compliance with guidelines.
  • Research and resolve billing inquiries and returned mail.
  • Maintain billing files and notes; ensure confidentiality at all times.
  • Contribute to billing format updates and process improvements.

Minimum Requirements

  • Associate Degree in Accounting/Business or equivalent coursework.
  • 3-5 years of billing or office experience in a law firm or professional services environment.
  • Experience with Elite or similar billing software.
  • Proficiency in Microsoft Office applications.
  • Strong communication, organization, and attention to detail.
  • Ability to manage multiple tasks, meet deadlines, and exercise sound judgment.
  • Flexibility to work additional hours, especially during year-end.
  • Ability to maintain strict confidentiality.
